Agreement and eligibility
These Terms of Service are an agreement between you and RecordWarden. In these terms, “RecordWarden,” “we,” “us,” and “our” refer to the provider of the service. These terms apply when you create an account or use the service. By doing so, you agree to them. You must be legally able to enter into this agreement. If you use RecordWarden for other people in your household, you are responsible for having their permission to store and share their records.
Invitation-only access
RecordWarden currently requires an invitation. Private preview access has no charge, and we do not request a payment method. Requesting or using an invitation does not start a subscription or authorize a charge. Preview is not a free trial because paid service has not started, and it does not silently convert into a paid subscription. We may expire or revoke invitations, or change who can access the service.
Before paid service starts, the price, annual renewal period, cancellation method, and other material terms shown before purchase will also apply. We will ask for your express consent before starting recurring charges.
First-purchase money-back guarantee
When paid service becomes available, your first paid base-plan purchase is covered by an unconditional 30-day money-back guarantee. You may request a full refund within 30 calendar days of that first purchase without giving a reason. Add-ons purchased with that first base plan are included in the same refund. The guarantee applies once per customer and does not restart for renewals, later add-ons, plan changes, or later purchases.
When you request the guarantee refund, your plan and access end immediately and deletion of the live vault begins. The ordinary 14-day read-only period does not apply. Export anything you need before requesting the refund. Inaccessible encrypted recovery copies remain subject to the recovery-quarantine and backup-retention terms below.
Your account and recovery code
Keep your sign-in methods, approved browsers, and recovery code secure. You are responsible for activity under your account and for telling us promptly if you believe someone has gained unauthorized access.
Signing in confirms your account, but it does not give RecordWarden the keys that open your files. If every approved browser and your recovery code are lost, RecordWarden support cannot recover the household vault.
Household access
Invite only people you trust. Accepted household members have broad visibility into the vault; RecordWarden does not provide private, per-document sharing inside a household. Roles control which members can organize, export, delete, or administer records.
Removing a member or leaving a household stops future access through the service. It cannot recall file contents, exported copies, envelopes, or keys that a member already saved.
Your records
You keep the rights you have in the documents and information you add. You give RecordWarden permission to host, process, transmit, and delete encrypted files and server-visible record details only as needed to provide, secure, and support the service or comply with law.
You must have the right to upload each document and make it available to the household members you invite. Do not upload material that is unlawful, infringes someone else’s rights, or contains malicious software.
Privacy and security
The Privacy Notice explains what the website and app store. The Security page explains which data is encrypted in your browser and which record details the server can read. No online service can guarantee perfect security, so keep independent copies of records you cannot afford to lose.
Responsible use
You may not use RecordWarden to:
- break the law or violate another person’s rights;
- access another account or household without permission;
- probe, bypass, or interfere with security, rate limits, or storage limits;
- upload malware or use automation that harms the service or other users; or
- resell the service or use it to provide a records service to third parties.
Service limits and changes
RecordWarden may change features, limits, or access as the service develops. We may suspend or restrict access when reasonably needed to address misuse, security risk, legal requirements, or harm to the service or its users. We do not promise that the service will always be available or error-free.
Not professional advice or an official record source
RecordWarden organizes digital copies. It does not provide legal, tax, medical, or financial advice, verify that a document is complete or current, or replace an official records office. You remain responsible for deadlines and decisions based on your records. Keep physical originals that have independent legal or practical value.
Ending use and deletion
The app lets you leave a household or delete your account, and lets a household owner delete a vault. Deleting an account also deletes any vaults that account owns. These actions cannot be undone in the product. Encrypted recovery copies are kept in a restricted recovery quarantine for at least 35 days and are scheduled for deletion after that. They are not available through the app while quarantined, but a RecordWarden operator can restore them as part of a service-recovery process.
Deleted account details and server-visible record information may remain in restricted, encrypted service backups until those backups expire under the configured retention schedule. Backups are used only for disaster recovery and are not available through the app.
If a paid subscription ends, the account has 14 days of read-only access to open, download, or export files before deletion begins. The same recovery-quarantine schedule applies after deletion.
Warranty disclaimer
To the extent permitted by law, the service is provided “as is” and “as available,” without warranties of uninterrupted availability, fitness for a particular purpose, or non-infringement. These disclaimers do not limit rights or warranties that cannot legally be excluded.
Limits on liability
To the extent permitted by law, RecordWarden is not liable for indirect, incidental, special, consequential, or punitive damages, or for lost profits, revenue, business, or data, arising from use of the service. This limit does not apply where the law does not allow it.
Changes to these terms
We may update these terms as the service changes. The current version and its update date will remain on this page. We will provide any additional notice required by law. If you do not agree to revised terms, stop using the service.
